Calminate VOF is the controller responsible for the processing of personal data described in this Privacy Policy.
2. What personal data we process
Depending on how you interact with Calminate, we may process information including:

- business email address;
- telephone number;

- information submitted through our website or contact forms;
- information submitted through the Commercial Baseline;
- correspondence and information provided during conversations with Calminate;
- client and administrative information;
- technical and website usage information where applicable.

3. Commercial Baseline
When you complete the Calminate Commercial Baseline, we use the information you provide to analyse your company’s commercial approach, prepare your Commercial Baseline and Executive Briefing, and support our subsequent conversation with you.
The Commercial Baseline may include:
- responses to structured statements;
- scores derived from those responses;
- commercial priorities or challenges provided through open questions;
- relevant company and respondent information.
Not all information provided through the Baseline constitutes personal data. However, we treat Baseline information with appropriate care, including commercially sensitive information relating to your organization.
Use of Baseline data for research and methodology development
We may use anonymized and aggregated information derived from Commercial Baselines to:
- improve the Calminate methodology;
- identify broader commercial patterns;
- develop benchmarks;
- conduct research;
- create educational content and commercial insights.
We will not publicly identify individual respondents or companies, or attribute individual Baseline responses or scores to them, without permission.
For long-term analysis and research purposes, we aim to separate identifying information from the underlying Baseline data. Properly anonymised information may be retained for longer periods because it can no longer reasonably be linked to an identifiable individual.
4. Use of artificial intelligence
Calminate may use artificial intelligence tools to support analysis and the preparation of Commercial Baseline outputs.
Where AI tools are used, we minimise the information shared for this purpose.
For Commercial Baseline analysis, we may provide structured statement responses and scores to an AI tool. We do not include respondent contact details or open-text responses where these are not necessary for the analysis.
We aim to avoid sharing personal data with AI tools where the same purpose can reasonably be achieved without it.
5. Why we process personal data
We may process personal data to:
- respond to enquiries and contact requests;
- provide and discuss the Commercial Baseline;
- prepare analyses, reports and recommendations;
- conduct discovery and commercial conversations;
- provide our consultancy services;
- communicate with prospects, clients and partners;

- comply with legal and administrative obligations;

- personal data associated with prospects and Commercial Baseline participants may be retained for up to two years after our last relevant interaction, unless an ongoing commercial or client relationship justifies continued retention;
- information relating to active clients may be retained for the duration of the relationship and for an appropriate period afterwards;
- financial and administrative records are retained for the periods required under applicable law;
- identifying information may be removed from historical Commercial Baseline data when it is no longer required for the original commercial purpose;
- properly anonymised and aggregated Baseline information may be retained for longer periods for research, benchmarking, methodology development and educational purposes.
Retention periods may differ where a specific legal, contractual or operational reason requires this.
10. Anonymised and aggregated information
Where possible, Calminate may convert information into an anonymised or aggregated form for longer-term analysis.
Anonymised datasets may include information such as:
- Commercial Baseline statement scores;
- domain scores;
- overall scores;
- broad company-size categories;
- broad sector categories;
- time periods or cohorts.
Such datasets are designed not to contain information that reasonably identifies an individual respondent.
Where we retain a means of reconnecting information to an identifiable person, we continue to treat that information as personal data and apply appropriate safeguards.
11. Your rights
Under applicable data-protection law, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate or incomplete personal data;
- request deletion of your personal data;
- request restriction of certain processing;
- object to certain processing;
- receive certain personal data in a portable format;
